Keep member revenue in your chosen systems
Continue using the accounting, invoicing, banking, or payment-provider tools that fit your organization. HollieHQ does not collect, settle, reconcile, or pay out money owed to you by members or customers.
This includes dues, subscriptions, donations, event fees, customer invoices, payment credentials, refunds, and provider settlement for your organization’s own revenue.
- Your organization chooses and operates its member-payment providers.
- Member financial credentials stay out of HollieHQ.
- Your finance system remains the source of truth for member revenue.
Use membership status as an operational decision
Your approved internal process decides when a member should be active, suspended, expired, or archived. HollieHQ uses that operational state to guide member and attendance workflows.
If payment in an external system affects membership eligibility, your organization remains responsible for reviewing that information and applying the appropriate lifecycle change in HollieHQ.
Treat HollieHQ service billing separately
Owners and organization administrators use the billing workspace only to view and pay invoices owed to HollieHQ. Staff, location managers, members, and kiosks do not receive service-billing access.
The fee combines a base plan amount with active members above the plan’s included allowance. Pricing and usage are copied into each invoice so later plan changes cannot rewrite history.
Know which currency and channels apply
NGN applies only after HollieHQ verifies that the organization is legally registered and primarily operating in Nigeria. All other and unverified organizations use USD, with changes applying only to future periods.
Stripe, VelvPay, manual transfer, and crypto appear only when enabled by the platform administrator and compatible with the invoice. Crypto remains limited to USD invoices.
Watch for thisHollieHQ does not perform automatic foreign-exchange conversion. NGN and USD prices are configured independently.
Prepare for the invoice timeline
After the 14-day trial, invoices follow the organization’s billing anniversary. Each invoice has a seven-day payment period and a seven-day grace period.
If grace expires, operational changes pause in read-only mode while login, viewing, exports, billing, and support recovery remain available. Verified settlement restores normal access automatically.
- Owners and administrators know where to find service invoices.
- Country details are submitted early if NGN eligibility is expected.
- At least one enabled payment channel is available for the invoice currency.
- The organization has an internal owner for paying HollieHQ invoices.
